Receptionist & Admin Assistant

Rogers Capital Technology Services Ltd is searching for a Receptionist & Admin Assistant to work in his Managed Connectivity department to provide efficient and effective service at the reception for visitors and staff.

Skills required

  • Higher School Certificate / Diploma.
  • Good communication skills (Both English & French – Oral and Written).
  • Pleasant personality, self-motivated and dynamic.
  • Well conversant with Microsoft Office Tools Good planning, analytical and interpersonal skills.
  • Strong organizational skills with the ability to multi-task and to take initiative.
  • Ability to maintain records and prepare reports.
  • Ability to perform efficiently with minimum supervision and within deadline.

 

Duties

  • Welcome visitors and staff by greeting them.
  • Maintain security by following procedures.
  • Monitor visitors’ logbook.
  • issue visitors’ badges.
  • Respond efficiently to telephone enquiries, both from internal and external customers, ensuring that calls are re-directed if necessary, and responding to enquiries in a prompt and polite manner.
  • Assist the head of department, managers and staff for coordinating and planning their overseas travels.
  • Maintain safe and clean reception area by complying with procedures, rules, and regulations.
  • Provide excellent customer service Assist staff and management on meeting room reservations when requested.
  • Assist staff and management on transport reservation requests.
  • Open, acknowledge and record the receipt and dispatch of correspondences.
  • Plan daily dispatch with messengers and efficient dispatch book maintenance.
  • Manage and order monthly office supplies (Stationery, kitchen supplies & accessories, etc…) .
  • Supervise the messengers on daily operations.
  • Foster and maintain good working relations with all other departments, internal and external customers, suppliers and employees in the Rogers sectors.
  • Processing purchase orders Issuing sales transaction invoices .
  • Supporting the sales department with other administrative tasks, if requested.
  • Any other cognate duties in line with your capabilities
